Operations and Projects Coordinator

Our next Operations and Projects Coordinator will look forward to feeling as satisfied as they are tired at the end of the day. They will share the pride of mastering both operations and project management, be outspoken enough to handle public appearances while learning and mastering the I Am A Girl way, and/or put their planning expertise to work to get the next set of special projects, events, and activities off the ground.

The Role Description:

The Operations and Projects Coordinator  (OPC) is responsible for ensuring the success of key operational components, projects, and programmes offered through our organization. The OPC is responsible for operational excellence, general planning, management of volunteer teams, working with other organizations, collaborative partnerships, and advocacy for our beneficiaries and public awareness about I Am A Girl.

This position requires a keen eye for operations management, general knowledge of non-profit management, significant abilities in project planning and management, and a core passion for girls' work, including gender equity, mental wellness, and educational resourcing.

The Operations and Projects Coordinator works closely with the Executive Director, providing additional support for the organization as necessary. Most work would occur during the weekday, with some weeknights and weekends, as required. There is flexibility with hours.

Position Status: Contract (Full Time)
Work Style: Hybrid (In-person & Remote)
Compensation Range: $36,000.00 - $42,000.00 BBD Per Annum

Responsibilities:

Operations and Projects Coordination and Management (70%)

  1. Manage all of the Operational components of the organization within the scope of the role
  2. Perform all major operational and administrative tasks within the scope of the role, and build out any key processes for efficiency
  3. Creation of Project Plans, Structures, and Content for each running cycle and research to feed into its' success
  4. Promote and advertise projects and programmes (in line with strategic and marketing plans)
  5. Manage the logistics of all special projects and programmes, locally and regionally, including their registration processes, coordination, and follow-up
  6. Scheduling of meetings and calendar development of annual and ongoing project planning
  7. Acquire, order, and/or maintain inventory, supplies, and resources for general operations, projects and programmes, where necessary
  8. Source and Coordinate facilitators (internal and external), mentors, and volunteers for projects and programmes, as required
  9. Aid with the training of facilitators (internal and external), mentors, and volunteers for projects and programmes, as required
  10. Collaborate with seasonal team members and support staff (i.e. coaching sessions) to ensure projects are properly maintained
  11. Submit operational, project, and programme reports at the end of each term for distribution to The Board of Trustees, Advisory Councils, Partners, and Membership
  12. Manage and maintain correspondence between the organization and beneficiaries, partners, etc.

Office Support (10%)

  1. As a member of the team, perform front office duties as needed
  2. Answer calls and greet visitors, direct calls and people to appropriate team members or spaces, and answer basic questions regarding I Am A Girl's operations, projects and programmes
  3. Complete digital tasks including, but not limited to: keeping files organized physically and in the cloud, notifying appropriate team members of any troubleshooting needs for the website and/or digital platforms we utilize, and/or working with support from web-based platforms to resolve issues (as required)
  4. Maintain office supply inventory and keep a list of standard items as needed
  5. Process in-person payments for team fees, and other transactions, from petty cash, as required
  6. Assist with any additional one-off projects as needed
  7.  Complete related tasks as requested


Executive Support (15%)

  • Provide support for the Executive Director as needed, including but not limited to:
  1. Preparing agendas, packets, and resources for all necessary meetings, including The Board of Trustees, Advisory Councils, Partners and Membership
  2. Drafting, editing, and revising documents related to any projects and programmes, locally or regionally
  3. Actively participating in strategic, business, and communications planning

Website, Social Media, and Newsletter Support (5%)

  • Write news articles, newsletters, press releases, and/or blog posts for the website periodically regarding special projects and programmes, and for external distribution via our mailing list and/or traditional media
  • Share on social media, and email to appropriate partners and stakeholders any updates regarding any operational process, special projects and/or programmes
  • Update social media as directed and in line with the communications plan

Qualifications: 

At least 3 years of experience in a fast-paced office environment, within operational and project management roles, as well as a Bachelor’s degree or equivalent work experience, is preferred.

Prior experience with the non-profit sector would be an asset.

Other Requirements: Applicants must also have a valid Barbados Driver’s License, a good driving record, and be able to drive safely to assist with operations, projects and programmes errands, mentee interventions, if needed, and, in some instances, projects or programmes delivery.

Access to a vehicle you can use would be an asset. Must also successfully pass police background checks.

Preferred:

  • A Bachelor’s degree (Preference: Project Management, Event Management, Business Development, or similar)
  • Demonstrable successes in operational, project and/or event management

Internship: Research

The Research Intern provides research support to the organisation in line with the mission and programming simultaneously.  This role includes, but is not limited to, conducting research, compiling data collected, some analysis for idea implementation, and assisting with reporting of findings.

This support role aims to strengthen the abilities and skills of the intern in research and data management, with skillsets required to span across multiple tasks assigned, and although working closely with the Programming Coordinator, a lot of the execution and collaboration would be with beneficiaries, volunteers and other interns (where necessary).

The core of duties will be based on specialty projects in alignment with key organisational benchmarks for programming progress, and most work assignments would occur during the weekday, with minimal weeknights and some weekends, as may be necessary, based on the targets set for the research. There is flexibility with hours and any academic obligations, where necessary, will be fully accommodated.

  • Provides research support to the Programming Coordinator primarily, which may include proposal writing, calls, data collection, analysis, reporting, etc.
  • Provides research and administrative support, from time to time, to the Executive Director, which may include identifying grants, general documentation, strategy planning, calls, etc.
  • Records and tracks all data submissions and curates information as required.
  • Maintains electronic and hard copy records and files, as directed.
  • Maintains and updates the organisation's database, as required.
  • Assists with analysis, reporting and reviews, based on data collected.
  • Assists with the day to day office operations, as required.
  • Prepare presentations for periodic meetings with The Board of Trustees, Advisory Councils and Membership.
  • Facilitate data and results curation in collaboration with any team members or volunteers working on I Am A Girl's public presence.
  • Maintains confidential nature of information obtained; exercises discretion in handling confidential and privileged information.
  • Prepares various documents in Word, Excel or PDF upon request of the Executive Director or Programming Coordinator.
  • Other duties as assigned.

Qualifications

  • Enrolled in the 2nd or 3rd Year of your University Degree Programme (Preference: Social Science Areas)
  • General Understanding of Monitoring and Evaluation (M&E) principles and Research Models (Formal Training an Asset)
  • Computer skills (Microsoft Office, Google Suite, etc.)
  • Ability to collaborate well with others, with strong communication skills
  • Ability to maintain confidentiality and uphold clear boundaries

Internship: Administration

The Administrative Intern provides administrative support in different forms to the Executive Director primarily, but not exclusively, and would also work with the Programming Coordinator, Community Engagement and Programming Assistant, and any other Operations Team Members that may require support from time to time.

This support roles aims to strengthen the abilities and skills on the intern in administrative management within the non-profit context, and will span from the creation and distribution of letters to communication 101 to database management.

This role would also require working on special projects, assigned periodically, and most work assignments would occur during the weekday, with some weeknights and weekends, as may be necessary, based on assignments given. There is flexibility with hours and any academic obligations, where necessary, will be fully accommodated.

  • Provides administrative support to the Executive Director primarily, which may include paperwork, database, files, donor letters, annual appeals, board meeting preparation, calls, etc.
  • Provides administrative support, from time to time, to the Programming Coordinator, Community Engagement and Programming Assistant, and any other Operations Team Members, which may include e-mail support, general documentation, calls, etc.
  • Coordinates the preparation, printing, mailing of Annual Appeal, digital Annual Report quarterly newsletters and any other documentation.
  • Records and tracks all donations, generates acknowledgement letters, runs reports as requested.
  • Maintains electronic and hard copy records and files, as directed.
  • Maintains and updates the organisation's database, as required.
  • Maintains data entry for beneficiary services, run monthly report for meetings.
  • Maintains a general monthly calendar listing events, programming and meetings.
  • Assists with the day to day office operations and office equipment supplies and repairs.
  • Checks general Voicemail and email daily and re-direct correspondence, where necessary.
  • Prepare agenda and records minutes for Operations Team meetings.
  • Maintains confidential nature of information obtained; exercises discretion in handling confidential and privileged information.
  • Prepares various documents in Word, Excel or PDF upon request of the Executive Director.
  • Other duties as assigned.

Qualifications

  • CXC English, Mathematics and Office Administration (Completed or In-Progress)
  • Computer skills (Microsoft Office, Google Suite, etc.)
  • Basic bookkeeping skills 
  • Ability to collaborate well with others, with strong communication skills
  • Ability to maintain confidentiality and uphold clear boundaries

We have an active pool of volunteers who help us to execute our programmes, projects and fundraising. Volunteer roles may include event management, project management, mentorship, team development, social media management, communication strategy and much much more.

Volunteers have the opportunity to work in their areas of strength with the option to grow in other areas as well. Below are three (3) key steps to be completed in our volunteer enrolment process.

Following the brief chat we would access your eligibility and reach out to have the required documents completed and/or submitted.

Once all information is submitted we would proceed to execute our Volunteer Induction Training, and create assignments.
