Donor Relations Coordinator

When you walk into an I Am A Girl space it’s bright, open, and welcoming. It may be bustling with activities where you can't tell apart beneficiaries and team members, at times, because it's one family, or still and quiet in reflective mode. That’s all by design.

Our next Donor Relations Coordinator will look forward to feeling as satisfied as they are tired at the end of a day. They will share the pride of knowing that all their efforts ensure our girls are supported educationally, through food and hygiene security, as well as in their leadership abilities.  They will also have first hand knowledge of mentoring and catering to the needs of girls who need the funds most.

They will model for the team members they supervise how working with both mentees and team members alike honours each person’s strengths and talents that are needed and valued no matter the thinking or physical challenges they may face.

They will support team members to meet their own goals of development just as they do beneficiaries. They don’t take seemingly small accomplishments for granted - they recognise the gratitude shared by girls of the love they receive. They master the use of supportive skills for both mentees and team members by loosening a little here, tightening a little there, and jumping in to help where needed.

The Role Description:

The Donor Relations Coordinator (DRC) ensures the successful development of operational funds. S/he is responsible for increasing the number of donors, partners, and benefactors to the organisation, continue to improve the relationship between the organisation and its current and past donors, and support leadership in its fundraising goals towards programming and operations. 

These duties may include a combination of, but not limited to, direct donor relations and engagement, creating fundraising appeals, such as brochures, emails, and social media posts, collecting and managing donor information through CRM, and helping to organise and oversee the logistics for development events, which may include basic logistics such as organising speakers and ensuring that leaders from the organisation are present at the events. The DRC may also help coordinate the dispersal of donations.

This position requires adequate knowledge of non-profit, donor and relationship management, and significant passion for girls’ work, including gender equity, mental wellness, and educational resourcing.

The Donor Relations Coordinator (DRC) works closely with the Executive Director, providing additional support for the organisation as necessary. Most work would occur during the weekday, with minimal weeknights and some weekends, as required. There is flexibility with hours.

Responsibilities:

Donor Relations Coordination and Management (70%)

  • Collaborate with the Executive Director and Operations Team to implement the vision for donor relations and fundraising, locally and regionally.
  • Build and maintain partnership relationships (i.e., donors, sponsors, individual funders, etc.) for grants, fundraising opportunities, and programme crowdsourcing.
  • Plan and coordinate an increase in fundraising and donor activities, including but not limited to the following tasks:
  1. Creation of a Sales Strategy, Resources Mobilisation and Marketing Plan, that incorporates targeted results.
  2. Promote and advertise the organisation (in line with the sales strategy and marketing plan).
  3. Develop a calendar for annual fundraising planning and donor engagement.
  4. Direct and in-direct outreach to donors and sponsors, locally and regionally (i.e. calls, snail-mail, social media, e-mails, webinars, events, one-on-one and group presentations, etc.).
  5. Aid with training of beneficiaries locally and regionally on fundraising strategies, as required.
  6. Collaborate with seasonal team members and support staff to ensure fundraising and partnership relationships are properly maintained.
  7. Submit donor and fundraising reports at the end of each period for distribution to The Board of Trustees, Advisory Councils and Membership.
  8. Manage and maintain correspondence between past and present partners, donors, and stakeholders.
  9. Maintain donor relationship management database, including updating donor records, compiling biographical information, data entry, and pulling reports/queries.
  10. Process incoming gifts and ensure that gifts are accurately recorded and thank you notes are distributed.
  11. Coordinate donor mailings, including direct mail appeals.
  12. Track pledges and monthly gifts to ensure on-time payment.
  13. Analyse donor giving patterns to increase donor retention, upgrading, and conversion rates.
  14. Assist with individual donor stewardship including acknowledgement letters, thank you cards, donor appreciation gifts, and other communications via phone, email or otherwise.
  15. Assist with preparation of the annual report and other reports to donors as needed.
  16. Coordinate logistics for fundraising events, donor cultivation events, and annual fundraisers.
  17. Conduct research on donor prospects and other acquisition strategies to expand donor base locally and regionally.
  18. Cultivation and stewardship strategies developed to reach out to identified annual and multi-year donors.
  19. Generate monthly donor reports and ensure completion of all required reports to be submitted.
  20. Recruitment and management of temporary staff for fundraising initiatives, as required.

Website, Social Media, and Newsletter Support (20%)

  • Post news articles or blog posts to website periodically regarding fundraising, share on social media, and email to appropriate partners and stakeholders.
  • Update website and social media as directed and in line with the sales strategy and marketing plan.

Office Support (5%)

  • As a member of a small team, perform front office duties as needed
  • Answer calls and greet visitors, direct calls and people to appropriate team members or spaces, answer basic questions regarding I Am A Girl's programmes
  • Complete digital tasks including, but not limited to: keeping files organised in the cloud, troubleshooting website or other software issues, working with support from web-based platforms to resolve issues
  • Maintain office supply inventory and keep list of standard items as needed
  • Process in-person payments for team fees, and other transactions, from petty cash, as required
  • Assist with special projects as needed
  • Complete related tasks as requested

Executive Support (5%)

  • Provide support for the Executive Director as needed, including but not limited to:
  1. Preparing agendas, packets, and resources for all necessary meetings, including The Board of Trustees, Advisory Councils and Membership.
  2. Drafting, editing, and revising documents related to fundraising and donor relations.
  3. Actively participating in strategic, business, and communications planning.

Qualifications: 

A minimum of 3 years of experience in a fast-paced, results-driven, office environment. This may include:

  • 1-2 years’ experience in the non-profit field, preferably in fundraising, donor relations and/or customer outreach and sales-centric roles
  • Excellent interpersonal and communication skills
  • Highly organized and acute attention to details
  • Ability to multi-task and meet set deadlines
  • Be a fast learner and have critical thinking skills
  • Adequate computer literacy and both traditional and digital research skills
  • Analytical and comfortable working with databases

Preferred:

  • A Bachelor’s degree (Preference: Business Development, Marketing, or similar)
  • Experience with a customer relationship management (CRM) database

Internship: Research

The Research Intern provides research support to the organisation in line with the mission and programming simultaneously.  This role includes, but is not limited to, conducting research, compiling data collected, some analysis for idea implementation, and assisting with reporting of findings.

This support role aims to strengthen the abilities and skills of the intern in research and data management, with skillsets required to span across multiple tasks assigned, and although working closely with the Programming Coordinator, a lot of the execution and collaboration would be with beneficiaries, volunteers and other interns (where necessary).

The core of duties will be based on specialty projects in alignment with key organisational benchmarks for programming progress, and most work assignments would occur during the weekday, with minimal weeknights and some weekends, as may be necessary, based on the targets set for the research. There is flexibility with hours and any academic obligations, where necessary, will be fully accommodated.

  • Provides research support to the Programming Coordinator primarily, which may include proposal writing, calls, data collection, analysis, reporting, etc.
  • Provides research and administrative support, from time to time, to the Executive Director, which may include identifying grants, general documentation, strategy planning, calls, etc.
  • Records and tracks all data submissions and curates information as required.
  • Maintains electronic and hard copy records and files, as directed.
  • Maintains and updates the organisation's database, as required.
  • Assists with analysis, reporting and reviews, based on data collected.
  • Assists with the day to day office operations, as required.
  • Prepare presentations for periodic meetings with The Board of Trustees, Advisory Councils and Membership.
  • Facilitate data and results curation in collaboration with any team members or volunteers working on I Am A Girl's public presence.
  • Maintains confidential nature of information obtained; exercises discretion in handling confidential and privileged information.
  • Prepares various documents in Word, Excel or PDF upon request of the Executive Director or Programming Coordinator.
  • Other duties as assigned.

Qualifications

  • Enrolled in the 2nd or 3rd Year of your University Degree Programme (Preference: Social Science Areas)
  • General Understanding of Monitoring and Evaluation (M&E) principles and Research Models (Formal Training an Asset)
  • Computer skills (Microsoft Office, Google Suite, etc.)
  • Ability to collaborate well with others, with strong communication skills
  • Ability to maintain confidentiality and uphold clear boundaries

Internship: Administration

The Administrative Intern provides administrative support in different forms to the Executive Director primarily, but not exclusively, and would also work with the Programming Coordinator, Community Engagement and Programming Assistant, and any other Operations Team Members that may require support from time to time.

This support roles aims to strengthen the abilities and skills on the intern in administrative management within the non-profit context, and will span from the creation and distribution of letters to communication 101 to database management.

This role would also require working on special projects, assigned periodically, and most work assignments would occur during the weekday, with some weeknights and weekends, as may be necessary, based on assignments given. There is flexibility with hours and any academic obligations, where necessary, will be fully accommodated.

  • Provides administrative support, from time to time, to the Programming Coordinator, Community Engagement and Programming Assistant, and any other Operations Team Members, which may include e-mail support, general documentation, calls, etc.
  • Coordinates the preparation, printing, mailing of Annual Appeal, digital Annual Report quarterly newsletters and any other documentation.
  • Records and tracks all donations, generates acknowledgement letters, runs reports as requested.
  • Maintains electronic and hard copy records and files, as directed.
  • Maintains and updates the organisation's database, as required.
  • Maintains data entry for beneficiary services, run monthly report for meetings.
  • Maintains a general monthly calendar listing events, programming and meetings.
  • Assists with the day to day office operations and office equipment supplies and repairs.
  • Checks general Voicemail and email daily and re-direct correspondence, where necessary.
  • Prepare agenda and records minutes for Operations Team meetings.
  • Maintains confidential nature of information obtained; exercises discretion in handling confidential and privileged information.
  • Prepares various documents in Word, Excel or PDF upon request of the Executive Director.
  • Other duties as assigned.

Qualifications

  • CXC English, Mathematics and Office Administration (Completed or In-Progress)
  • Computer skills (Microsoft Office, Google Suite, etc.)
  • Basic bookkeeping skills 
  • Ability to collaborate well with others, with strong communication skills
  • Ability to maintain confidentiality and uphold clear boundaries
